Anvyl allows Team Admins and Company Admins to configure the order milestones on a purchase order. This affects how many and when automated emails are sent to suppliers. If you are a Team member and wish to configure the purchase order, please send this article to your Team Admin. 

  1. When logged in, navigate to your Avatar > Team Settings or Company Settings.
  2. Click on the Team Name you wish to update the PO template for.
  3. Click the Milestones tab.

Pre-Production

  • Prompt is sent when a new PO is issued.
  • Milestone is confirmed when the supplier accepts the PO.
 

Production (optional)

  • Prompt is sent on the production start date provided by the supplier.
  • Milestone is confirmed when supplier confirms production has started.
  • This milestone can be muted through milestone configurations. 
  • If the production start date provided is in the past, the production start milestone will be marked as confirmed.
  • If the production start date provided is in the future, the production start milestone will not be marked as confirmed. Anvyl will check in on the newly entered production start date to confirm production status.

Pre-shipment (optional)

  • Prompt is sent at a default of 7 days before the target ship date on the PO or the estimated ship date entered by the supplier, when available.
  • Milestone is confirmed when supplier confirms the order will be shipped on any date < 7 days from when the prompt is sent.
  • If the estimated ship date provided is in the past, the order will be marked as shipped.
  • If the estimated ship date provided is < X days in the future, the order will be marked as on track to ship.
  • If the estimated ship date provided is > X days in the future, the order will not be marked as shipped. Anvyl will check in X days prior to the newly entered ship date and again 1 day after ship date to confirm shipment status.

Shipment

  • Prompt is sent 1 day after the target ship date or the estimated ship date entered by the supplier, when available.
  • Milestone is confirmed when the supplier confirms the order has shipped. When confirming this milestone, the supplier may also input the quantities shipped if it differs from the ordered amount.
  • The default day range is customizable
  • If the estimated ship date provided is in the past, the order will be marked as shipped.
  • If the estimated ship date provided is < X days in the future, the order will not be marked as shipped. Anvyl will check in 1 day after the newly entered ship date to confirm the shipment status.

Delivery (optional)

  • Prompt is sent 1 day after the estimated delivery date to the brand to confirm delivery. Suppliers can opt to receive this prompt as well in their email settings.
  • Milestone is confirmed when either the brand or supplier confirms the order has been delivered
  • The default day range is customizable.
  • If the delivery date provided is in the past, the order will be marked as delivered.
  • The use of shipment tracking capabilities can automate the delivery milestone.

How to add a milestone configuration

  • Click the Add Configuration button
  • Fill out the required fields as seen in the screenshot below
  • At a minimum, only two fields need to be enabled:
    • Pre-Production Milestone
    • Shipment Milestone
  • Confirmation requested days are customizable to trigger any "days" after the previous milestone is confirmed

How to edit a milestone configuration

  • Find the configuration you wish to edit.
  • Click on the overflow menu
  • Click Edit.
  • Fill out the desired configurations.

Note: If you edit a milestone configuration in the Admin panel after issuing a PO with that configuration, the changes will only be applied to newly issued POs.

How to remove a milestone configuration

  • Find the configuration you wish to remove.
    Note: You can not remove the default configuration. If you are trying to remove your default configuration, please set a new default configuration before proceeding to the next step.
  • Toggle it off.
  • Once completed, This will not remove the configuration from your Team Settings, but it will remove the option from your Purchase Order.

Note: Removing a milestone configuration does not affect any existing orders.

How to select the correct milestone configuration for a purchase order

  • Once you have configured your milestones, you will be able to select this field when you create a new purchase order. 
  • Within the PO form, you will be required to select a milestone configuration before you issue it to your supplier.
  • Your Default configuration will show in this field. If not determined in your team settings, the Anvyl Standard will appear
    • Consisted of all 5 milestones
      • Pre-production
      • Production
      • Pre-shipment
      • Shipment
      • Delivery

Note: You will not be able to change the configuration once the PO is saved or issued.

How this affects task automations linked to milestones

In most cases, the milestone configuration selected on the PO will determine which Task Automations are triggered. This means that in some cases, Task Automations will not be created based on your milestone configurations. This will occur when a Task Automation that links tasks to a specific milestone exists in your account, and the PO has a milestone configuration that has muted the same milestone.
